OpenApply is making my job easier every day. It is straightforward to use and simple to customise to your specific needs.

Founded in 2011 to meet the increasing demand for international education in Denmark’s second-largest city, the Aarhus Academy of Global Education (AAGE) offers the International Baccalaureate Primary and Middle Years Programmes to over 100 students aged 3 to 15.

In 2014, the school chose to move forward with OpenApply as an online system for managing their admissions process.

Why OpenApply

The admissions team at AAGE felt like they were drowning in paper applications, and struggling to track all the required documents from each family

On OpenApply, the customised checklist allows parents to clearly see the status of their application, and complete any missing items. Parents can upload files directly to the system, which eliminates repetitive uploading/downloading and scanning

The OpenApply team built five forms on AAGE’s account: an enquiry form, application form, fees & terms agreement, student information form, and re-enrolment form. The forms use global fields, so that if the family has completed their phone number in one form, it will be pre-populated in all other forms.

Using OpenApply

AAGE’s customised OpenApply account uses the school colors, includes built-in defaults for the most popular answers (e.g. Denmark for Nationality), and allows AAGE to track admissions at two campuses.

Aarhus Today

In early 2015, the admissions team at AAGE was surprised to find thirty Japanese families had submitted applications via OpenApply.

“The families applied out of nowhere,” said Kathryn Templeman, the MYP Coordinator at AAGE who had temporarily assumed the duties of the admissions director at the time. “We never could have processed their applications without OpenApply.”

It turned out that Mitsubishi Heavy Industries was opening a new branch in Denmark. The families had found AAGE online, and submitted all their documents and applications smoothly, without requiring the admissions team’s assistance
