We’re excited to announce a number of updates designed to improve the OpenApply experience for both staff and families alike! These enhancements will contribute to the ongoing optimisation and streamlining of your admissions and marketing process. Let’s take a closer look.

Bulk Edit Updates

Schools can now edit multiple fields at the same time via the Bulk Edit feature. Rather than editing fields row by row, schools are empowered to make changes to multiple fields for multiple applicants on the roster simultaneously, dramatically reducing the time required for data entry and updates.

This streamlines the workflow by allowing administrators to allocate their time and resources more effectively to other critical aspects of the admissions process, such as reviewing applications or communicating with prospective families. Furthermore, while manual data entry can be prone to errors, particularly when handling a large volume of information, the bulk edit feature significantly minimises risks, since changes can be applied consistently across multiple records at once, helping maintain data accuracy and integrity throughout the admissions process.

The update also contributes to a more positive user experience for administrators, while adding a layer of scalability for schools. As a school grows and receives an increasing number of applications, the bulk edit feature enables efficient management of larger datasets, which is essential for accommodating growth without sacrificing operational efficiency.

Form Updates

Parents can now download completed forms as a PDF, enhancing their experience and providing them with convenient access to important documentation. Rather than requesting forms from school administrators or searching through emails for attachments, they can easily access and download the PDFs of completed forms from either the checklist or the files tab within OpenApply, whenever they need them, saving time and effort.

The update contributes to a better user experience, by supporting transparency and accountability, empowering parents to keep track of their interactions with the school throughout the admissions process. It also builds trust and strengthens the relationship between parents and the school.

Other Improvements

Our development team has deployed numerous other improvements to enhance the OpenApply experience for families and staff throughout March. Below are just a few of these enhancements:

  • Auto-select and disable form fields – minimise number of clicks and provide a more intuitive experience for parents when they sign up for an event
  • CAPTCHA for embedded forms – the CAPTCHA security measure (which determines whether the user is human or machine) now also works on externally embedded forms, the same way as it does on native forms within OpenApply
  • Event API updates – leverage the OpenApply event API to seamlessly retrieve students’ event data, for integration into third-party systems and databases
  • Analytics updates – conveniently jump to the student roster directly from the conversion funnel, by intuitively clicking numbers in the funnel to view the list of individual students
  • CRM updates – gain a more comprehensive understanding of channel data by tracking the ​​source of CRM contact form submissions, and view a conversion funnel on the CRM source campaign page
